Best accounting software for Canadian small businesses (2026)

Who each Canadian-ready ledger is actually for — GST/HST, payroll add-ons, and regular CAD prices, not US list rates.

Canadian small-business accounting software is not “QuickBooks, but we swapped the dollar sign.” You need tax rates that match CRA GST/HST rates, invoices your customer can use for input tax credits, and a path to payroll that understands CPP, EI, T4, and ROE — not US Social Security and W-2s.

This page covers four products Canadian firms actually buy: FreshBooks, QuickBooks Online Canada, Xero, and Sage Canada (cloud and Sage 50). Wave, which is free at the Starter tier, belongs in the invoicing guide as well; it is an honest free ledger for many sole props even though there is no publisher affiliate.

I have not run a six-month bake-off of these products for NorthOffice. They are here because they are widely used in Canada and publish Canadian pricing or tax features. Checked against public vendor and CRA pages, 29 August 2026.

What a Canadian ledger has to get right

  • GST/HST on sales and purchases. Ontario is 13% HST. Nova Scotia is 14% as of 1 April 2025. New Brunswick, Newfoundland and Labrador, and PEI are 15%. Alberta and the territories are 5% GST. BC, Saskatchewan, Manitoba, and Quebec add a separate provincial tax. Software should let you store those rates, put them on invoices, and report collected tax versus ITCs.
  • CAD books. Bank feeds from Canadian institutions, CAD invoices, and CAD reports. Multi-currency is a paid-tier feature on Xero (Premium) and on higher QuickBooks plans.
  • Payroll is usually an add-on. The ledger is not the same product as CRA payroll. See payroll software in Canada.
  • Sole prop vs small corp. A sole prop living on T2125 and a GST/HST return can stay light. A corp with inventory, job costing, or several users usually outgrows “invoice-first” tools.

FreshBooks — invoice-first, Toronto product, service businesses

FreshBooks is the product most Canadian freelancers are pointed at. The Canada pricing page lists Lite at $26 CAD/month (5 billable clients), Plus at $42 CAD/month (50 clients), Premium at $72 CAD/month (unlimited), and Select as custom. What it does well in Canada: estimates, recurring invoices, deposits, time tracking, and online payments including cards and pre-authorized debit. You create GST/HST rates yourself (13% Ontario HST, 5% GST, and so on) and apply them. Tax-time reports exist. Bank reconciliation and accountant access sit on Plus and higher.

What it is not: a full inventory system, and not a CRA-filing GST robot. Payroll is PaymentEvolution — FreshBooks says talk to a consultant. There is no public self-serve CAD payroll sticker on that page.

Who it is for: consultants, designers, and other service sole props who live on invoices. Who should look elsewhere: retailers with stock, or anyone whose bookkeeper will only open QuickBooks.

QuickBooks Online Canada — the bookkeeper default

Intuit’s Canadian cloud-accounting marketing pages listed EasyStart at $30 CAD/month, Plus at $110 CAD/month, and Advanced at $220 CAD/month, with steep intro discounts. Essentials exists as a mid tier; Exists as a mid tier; regular CAD price was not clearly listed on the public pricing page we could retrieve. QuickBooks is in this list because Canadian bookkeepers and CPAs overwhelmingly know it — not because NorthOffice ran a timed close on it. The Canadian product tracks GST/HST, supports Canadian banks, and sells a Canadian payroll add-on that is built around CRA source deductions. EasyStart is the sole-prop / freelancer tier. Plus is where inventory and project tracking show up on Intuit’s plan descriptions. Advanced is the 25-user, customization tier.

Desktop QuickBooks is a different product with an end-of-life story in Canada. Do not buy Desktop because an old blog said it was the Canadian standard.

Xero — unlimited users, Canadian dollars, payroll via apps

Xero’s Canadian pricing page lists regular prices of $25 CAD/month (Starter), $60 CAD/month (Standard), and $80 CAD/month (Premium). Prices exclude GST/HST. Starter is capped at 20 invoices, 5 bills. Xero’s practical Canadian advantage is unlimited users on every plan and a bank-reconciliation workflow accountants like. GST/HST reports are there; you still file. Multi-currency is Premium. Payroll for Canada is not a big native module on the plan card — it is typically an integration (Wagepoint is the name you will hear; it is not a NorthOffice v1 affiliate target).

Who it is for: firms that want several people in the file without per-seat fees, and bookkeepers who already work in Xero. Who should pause: a sole prop who will blow past 20 invoices on Starter and does not want to jump to $60.

Sage — cloud for simple books, Sage 50 if you already live there

Sage Business Cloud Accounting’s Canadian pricing footnotes list regular monthly rates after promo of $23 CAD/month + tax after promo, $50 CAD/month + tax after promo, and $72 CAD/month + tax after promo. Treat the CAD +tax figures as the Canadian offer and confirm tax on the subscription at checkout.

Sage 50 Canada is the desktop line still sold to firms that never left it. Public CA prices: Pro $814 CAD/year, Premium $1,219 CAD/year, Quantum $5,636 CAD/year. Sage is in the Canadian conversation because of that installed base, not because it is the default recommendation for a new sole prop starting this year.

Sole prop vs small corporation

A Smithville sole prop under the $30,000 small-supplier threshold can stay on Wave or FreshBooks Lite and invoice without HST until they register (voluntarily or because they crossed the line). After registration, the same tool has to print a GST/HST registration number on invoices at the CRA information thresholds — see how to invoice GST/HST in Ontario.

A small corporation usually wants accountant access, a proper receivables/payables picture, and payroll if the owner is an employee. That is QBO Essentials/Plus or Xero Standard more often than FreshBooks Lite. If you sell goods with inventory, look at QBO Plus or Sage — not FreshBooks Lite.

How to choose without a lab test

  1. Ask your bookkeeper what they will actually log into.
  2. Count billable clients and invoices per month (FreshBooks and Xero Starter cap you).
  3. Decide if payroll is this year. If yes, read the payroll guide before you pick a ledger.
  4. Set Ontario HST at 13% (or your place-of-supply rate) and print a sample invoice against CRA’s ITC information chart.
  5. Budget regular CAD prices plus HST on the software itself.
