Best CRM for Canadian small businesses

HubSpot is widely used and has a paid-plan affiliate later. Free/Starter do not pay. Data residency is documented, not assumed.

A CRM for a Canadian small business has to store people and deals in a tool the team will open, bill you in a currency you understand (or convert honestly), and not surprise you on GST. It does not have to be “enterprise.”

HubSpot is the product NorthOffice is most likely to affiliate later — on paid hubs, not on the free CRM and not on the typical Starter commission rules. That incentive is disclosed here so you can discount the enthusiasm. Other CRMs used in Canada are included so this is not a single-vendor page. What Canadian sole props actually use: the free CRM (contacts, one pipeline, email with branding). What starts to cost money: sequences, reporting, extra pipelines, marketing automation. That paid layer is the only part that matters for a future Impact commission (often described as 30% of payments for up to 12 months — confirm current program terms when applying; this site has not applied).

GST on the HubSpot invoice: HubSpot documents that it collects GST/HST/PST/QST from Canadian company addresses. If you are a GST/HST registrant, that tax may be an ITC — same as any other SaaS bill. See CRA ITCs.

Data residency

HubSpot announced a Montreal data centre (NA3) on 4 February 2025. Paid accounts can see hosting location under Privacy & Consent → Data hosting. Do not assume a free portal is in Montreal.

Zoho CRM is listed because Canadian buyers looking for residency options ask about it. I am not claiming a specific Toronto data centre for every Zoho SKU without a current Zoho residency page in hand — check Zoho’s own regional hosting docs before you promise a client “data never leaves Canada.”

What “best” means for a five-person Canadian firm

  • People will log in after the first week.
  • Email and pipeline match how you actually sell (invoices vs retainers vs site visits).
  • You know the all-in CAD cost including HST on the SaaS.
  • You know where the data sits if a client asked.

CRM does not replace a ledger. When a deal closes, invoicing and accounting still have to record GST/HST. If the work is a project board rather than a pipeline, start at project management for Canadian small businesses. If the work is billed by the hour, start with time tracking for Canadian freelancers. Trades businesses often want Jobber as the system of work and a light CRM or Jobber’s own client list — trades software.
