Best printers for Canadian small businesses

Brother and HP Store Canada print CAD. Epson ET-2850 prints CAD; ET-3850 is discontinued. ISO toner yields are vendor pages, not a ¢/page lab. A basic mono laser is enough for invoices. Colour and ADF are extra invoices.

Last updated 6 September 2026. About 15 minutes. Research from public vendor docs and CRA pages — not a hands-on lab test.

A Smithville shop does not need a print-shop RIP. It needs invoices that come out in black, an honest CAD sticker, and toner math that is not a fake ¢/page lab. US “best laser 2026” lists skip the part that changes the invoice: brother.ca Eco Fees, HP Store Canada dollars, and the fact that Epson’s ET-3850 is discontinued.

This comparison is five boxes shops actually open: Brother HL-L2460DW (basic mono laser), Brother MFC-L2820DW (mono AIO), HP LaserJet Pro 4101fdw (mono AIO plus fax), Brother HL-L3280CDW (colour laser), and Epson EcoTank (colour inkjet; ET-2850 CAD, ET-3850 discontinued). Printer and toner prices checked against public vendor and Canadian retailer pages, 6 September 2026. This is not a hands-on print test.

Who this page is for

  • A Canadian sole prop about to buy a colour inkjet for invoices that only ever print in black.
  • A two-desk shop that needs duplex and Wi-Fi, and is not sure scan or fax is worth the extra invoice.
  • Anyone shopping “cost per page” lists that invented a lab number from a toner sticker.
  • Not a hands-on print lab. Not a brochure RIP. Not an enterprise fleet RFP.

Snapshot (public pages, 6 September 2026)

Toner and bottles — official stickers, no invented ¢/page

Official CAD and ISO yields only. Actual pages vary. This is not a cost-per-page lab.

Brother TN830

Official CAD
$71.99 + Eco Fee $0.60 (brother.ca).
Published yield
Approx. 1,200 pages ISO/IEC 19752.
Vendor cost claim
Replacement for the 700-page in-box starter — not the starter.

Brother TN830XL

Official CAD
$117.99 + Eco Fee $0.55. Twin pack $204.99 + Eco Fee $0.55.
Published yield
Approx. 3,000 pages ISO/IEC 19752. Twin pack up to 6,000.
Vendor cost claim
Official: “lower print costs per page” vs TN830. Brother’s wording, not a lab.

HP 148A / 148X

No official HP toner CAD on this retrieve. Do not invent one.
Published yield
148A ~2,900; 148X ~9,500; inbox ~2,900. ISO/IEC 19752. Official: actual varies.
Vendor cost claim
Dynamic security: HP chip required; firmware can block non-HP chips.

Epson T502

Official CAD
No official bottle CAD on this retrieve. Service plans on the ET-3850 page printed CAD $182 / $243.
Published yield
Black ~7,500 / colour ~6,000 (ISO/IEC 24712). “Years of ink” assumes ~200 pages/month on the 3850 page.
Vendor cost claim
Official “save up to 90%” vs Epson standard cartridges, USD MSRP as of March 2024.

The 700-page in-box starter on HL-L2460DW and MFC-L2820DW is not TN830 (1,200) or TN830XL (3,000). Budget a replacement cartridge after the starter, not “toner included forever.” Sources: TN830; TN830XL.

Brother HL-L2460DW — basic mono laser, print only

Official brother.ca HL-L2460DW (6 September 2026 retrieve): $249.99, sale $179.99. Eco Fee is printed on Brother hardware cards. Confirm the live sticker — sales move. Official: monochrome laser, automatic duplex, up to 36 ppm. Recommended monthly volume 2,500 pages. Wi-Fi, Ethernet, and USB. In-box toner is rated about 700 pages. Print only — no scan, no fax. Optional Refresh EZ Print subscription is on the same page; this site will not invent a cost-per-page from it. Official brother.ca: free ground shipping on orders $50 CAD+ before tax. Does not ship to NT, NU, or YT. Source: Brother.

Use it if the shop prints invoices, packing slips, and quotes in black and already edits PDFs in software. The file job is PDF editors. The letter is word processors. Do not buy this box because you wanted a scanner.

Brother MFC-L2820DW — mono AIO when the counter has to scan

Official brother.ca MFC-L2820DW: $379.99 plus Eco Fee $7.25. Confirm tax at checkout. Official: monochrome laser all-in-one. Print, copy, and scan. ADF for copy, scan, and fax jobs. Automatic duplex. Up to 34 ppm. 2.7" touchscreen. Recommended monthly volume 2,500 pages. In-box toner about 700 pages — that is not the replacement TN830 yield. Source: Brother MFC-L2820DW.

Official brother.ca TN830: $71.99 plus Eco Fee $0.60. Approx. 1,200 pages ISO/IEC 19752. Actual pages vary with coverage, duplex, and the job. Official brother.ca TN830XL: $117.99 plus Eco Fee $0.55. Approx. 3,000 pages ISO/IEC 19752. Official copy says the XL has “lower print costs per page” than TN830 — that is Brother’s wording, not a NorthOffice cost-per-page lab. Do not divide the sticker by the ISO number and call it a bake-off. Official brother.ca TN830XL2PK: $204.99 plus Eco Fee $0.55. Up to 6,000 pages (two XL cartridges). Same ISO caveat.

Use the AIO when a licence or packing slip has to become a PDF at the till. Flattening that scan is still a PDF editor job, not a reason to skip software. Skip fax if no supplier still asks.

HP LaserJet Pro 4101fdw — mono AIO plus fax, HP chip lock

Official HP Store Canada LaserJet Pro 4101fdw (2Z619F#BGJ): $619.99. One retrieve also printed a $419.99 / save $200 sale. Canada Computers matched the $619.99 list (sold out online on that retrieve). Confirm live checkout — hardware cards move. Source: HP.

Official: monochrome laser all-in-one. Print, copy, scan, and fax. Automatic duplex. Up to 42 ppm (letter). Official: teams up to 10 users; up to 4,000 pages/month. Single-pass duplex ADF. Inbox / setup cartridge about 2,900 black pages (ISO/IEC 19752). Replacement: HP 148A about 2,900 pages; 148X about 9,500. Official: actual yield varies — hp.com/go/toneryield. This page will not invent a ¢/page from those yields. Official HP dynamic-security note: the printer is intended to work only with cartridges that have a new or reused HP chip. Firmware updates can block cartridges with a non-HP chip. That is HP’s lock, not a third-party toner price this site will invent.

Use it if you want fax and a faster mono AIO than the Brother MFC, and you will buy HP-chipped toner. Confirm $619.99 vs the sale card before you pay. This is not a colour machine and not a third-party toner recommendation.

Brother HL-L3280CDW — colour laser, print only

Official brother.ca HL-L3280CDW: $499.99, sale $369.99 plus Eco Fee $7.25. Confirm the live sale. Official: colour digital / laser-quality printer. Up to 27 ppm. Automatic duplex. Print only — no scan, no fax. Starter toner about 1,000 pages each colour. Official DR229CL drum rated 20,000 pages. Recommended monthly volume 3,000 pages. Source: Brother HL-L3280CDW.

Buy colour laser when letterhead and colour quotes have to leave this machine. The brochure file still starts in Word or Docs or a design tool — this box only prints it. Budget starter toner and the drum as separate invoices. No scan, no fax.

Epson EcoTank — colour inkjet, discontinued 3850 honesty

Official epson.ca EcoTank ET-2850 (C11CJ63202): Our Price $399.99, after 30% $279.99. Out of Stock on this retrieve. Official: scan, copy, auto two-sided print. No ADF on the 2850 — simpler than the discontinued 3850. Confirm the live card and stock. Source: Epson.

Official epson.ca EcoTank ET-3850: marked Discontinued. Official copy still on that page: cartridge-free EcoFit bottles; ADF, auto duplex, 250-sheet tray, scan and copy, 2.4" touchscreen, Ethernet and wireless. No fax on the pages cited. Replacement T502 bottles: black about 7,500 pages / colour about 6,000 (ISO/IEC 24712). Official “save up to 90%” is vs Epson standard ink cartridges, MSRP in USD as of March 2024 — not a NorthOffice bake-off and not CAD. Official “up to 2 years of ink in the box” is based on about 200 pages/month. Genuine-ink warranty honesty is printed on the same page. Service plans printed CAD $182 / $243. Official epson.ca points the discontinued ET-3850 at EcoTank ET-3950 (C11CL43201). That page was Out of Stock on this retrieve and did not print a printer CAD sticker. Official “up to three years of ink” claim and T502 bottles in the box. This site will not invent a $469.99 (or any other) printer price from a flyer aggregator. Bottle yields and “years of ink” are Epson’s ISO / monthly-volume math. Do not treat them as a Smithville cost-per-page lab. A colour inkjet is not a mono laser for invoices-only shops.

Stay here if you print colour often enough that bottles beat a toner rainbow, and you will confirm stock. Do not invent an ET-3950 price. Do not treat “two years of ink” as a shop forecast unless you actually print about 200 pages a month. Invoices-only shops should stay on a mono laser.

When a basic mono laser is enough

  • Invoices, packing slips, quotes, and labels in black: HL-L2460DW. Duplex and Wi-Fi. No scanner.
  • The same jobs plus copy or scan at the counter: MFC-L2820DW. Confirm you will use the ADF.
  • A supplier still demands fax, or you want the faster HP AIO and will buy HP-chipped toner: 4101fdw. Confirm the live CAD card.
  • Colour letterhead has to come out of this machine: HL-L3280CDW (laser) or EcoTank (bottles). That is a second use case, not an upgrade for invoices.
  • The file is the problem, not the paper: PDF editors and word processors. Seat math: Google Workspace vs Microsoft 365 in Canada.

A practical pick

  1. Invoices only, no scanner: Brother HL-L2460DW. Confirm $249.99 vs the $179.99 sale. Budget a TN830 after the 700-page starter.
  2. Need copy or scan at the till: Brother MFC-L2820DW at $379.99 plus Eco Fee. Same toner family.
  3. Need fax and a faster mono AIO: HP LaserJet Pro 4101fdw. Confirm $619.99 vs any live sale. Plan on HP-chipped toner.
  4. Colour letterhead, laser: Brother HL-L3280CDW. Confirm $499.99 vs $369.99. Budget the drum.
  5. Colour without a toner rainbow: EcoTank ET-2850 if the $399.99 / $279.99 card is in stock. Do not invent an ET-3950 price. ET-3850 is discontinued.
  6. The letter and the PDF still live in software — word processors and PDF editors.
